Working Hours & Conditions: Monday to Friday, 40 hours per week with a minimum 4–6 hours overlap with Australian Eastern Standard Time (AEST)
The Agency Operations Lead is the founder's right-hand person inside the business, responsible for owning day-to-day delivery so the founder can focus entirely on strategy, client relationships, and growth. This is not a VA role. You will be the central coordinator between the graphic designer, GoHighLevel specialist team, AI specialist, and clients, running workflows, upholding quality control, chasing deadlines, and keeping every client's work moving forward on time. Most systems, SOPs, and automations are already built. Your job is to run them with judgement, maintain the standard, and keep the machine moving.
Conduct weekly ClickUp pipeline reviews every Monday across all active clients; identify overdue or blocked tasks and follow up with the responsible team member or client
Post a concise weekly status summary to the founder (five bullet points max — no unnecessary meetings)
Review AI-generated social media content scripts for quality, accuracy, and brand alignment before they reach the client
Manage the end-to-end content approval workflow — notify clients, chase late approvals, brief the graphic designer via ClickUp, conduct visual QA on completed assets, and schedule approved content in GoHighLevel
Own the monthly newsletter workflow for all newsletter clients and coordinate email nurturing sequence builds with the GHL team using documented SOPs
Deliver monthly email performance summaries to the founder
Coordinate landing page builds across the founder, GHL team, and ads workflow; send preview links to clients for approval and run pre-launch QA checklists
Monitor lead flow weekly and escalate any issues immediately
Coordinate Meta ad asset creation between the graphic designer and the ads workflow; manage client approvals for copy and creative assets via ClickUp
Ensure monthly ad performance reports are compiled and sent to clients on time
Handle day-to-day client communication across ClickUp and other channels; escalate to the founder only when a strategic decision is required
Set up new client workspaces in ClickUp from existing templates; collect brand assets, brief the GHL team on setup requirements, and establish client review schedules and calendar bookings
Collaborate with the in-house AI specialist to continuously identify opportunities to streamline workflows and reduce manual effort across operations
Minimum 4 years of experience in a digital marketing agency operations, project management, or delivery lead role
Strong hands-on experience with ClickUp or a comparable project management tool (Asana, Monday.com, Notion, etc.)
Solid, demonstrable GoHighLevel (GHL) experience
Proficient with AI tools such as Claude or ChatGPT for content review, brief writing, and operational research
Excellent written English — a consistently high standard is required across client-facing communication, internal coordination, and quality reviews
Proven experience coordinating a remote team across multiple roles and time zones
Solid understanding of social media content strategy for service-based or trade businesses
Highly organised, self-directed, and solutions-focused — able to manage competing deadlines and priorities with minimal supervision
