Job Role: People and Culture Administrator

  • Compensation range: $1400-2000 AUD / Monthly
  • Engagement type: Independent Contractor Agreement

Reporting To: Head of People and Culture

Work Schedule: This role is expected to align with the (Melbourne TIME) business hours (approx. 6 AM - 2 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview

The People and Culture administrator provides administrative and compliance support to the People and Culture function, with a strong focus on documentation, coordination, reporting, and process execution throughout the employee lifecycle.

This role is primarily responsible for ensuring that all people processes are completed accurately, consistently, and on time, including recruitment coordination, onboarding, immigration administration, compliance tracking, and employee lifecycle documentation.

The role is highly process-driven and requires strong attention to detail, accuracy, and the ability to follow structured workflows within a compliance-focused environment.

Key Responsibilities

Best practices
Support the People and Culture team in maintaining consistent, structured, and compliant processes
Maintain effective working relationships with internal stakeholders
Ensure a clear understanding of company’s processes and requirements
Recruitment and onboarding
Coordinate recruitment activities, including scheduling interviews and managing candidate communication
Prepare and issue employment contracts and onboarding documentation
Maintain recruitment trackers and provide regular status updates
Ensure onboarding checklists are completed and all documentation is received
Set up and maintain employee records within systems and folders
Immigration, onboarding, and travel coordination
Maintain trackers for all sponsored and visa-dependent employees
Coordinate with migration agents and internal stakeholders to support documentation and compliance
Prepare and submit required documentation in line with immigration requirements
Coordinate travel, flights, accommodation, and relocation logistics where required
Maintain regular immigration status reports and escalate any risks or delays
WorkCover and wellbeing administration
Maintain records and trackers for all WorkCover claims
Support communication between managers, employees, and insurers
Track return-to-work documentation and required follow-ups
Escalate delays, missing documentation, or risks
Payroll administration support (limited)
Maintain accurate employee data relevant to payroll processes
Support payroll with documentation and employee changes (new starters, terminations, variations)
Ensure all required documentation is complete and submitted on time
Escalate discrepancies or missing information
Employee lifecycle and people and culture administration
Maintain accurate and up-to-date employee records across all systems
Prepare employment letters, forms, and documentation
Coordinate offboarding processes, including documentation and system updates
Maintain checklists to ensure all lifecycle steps are completed
Respond to basic P&C queries and escalate where required
Compliance and reporting
Maintain compliance trackers, including probation, reviews, visas, licences, and documentation
Monitor outstanding actions and follow up with relevant stakeholders
Prepare and maintain regular reports (onboarding, immigration, compliance status)
Ensure all records meet internal and legislative requirements
Identify gaps or inconsistencies and escalate
Policy and library management
Maintain the policy, procedure, and document library
Ensure all documents are current, version controlled, and stored correctly
Support updates and rollouts of new or revised documents
Conduct regular audits of documentation
Hub and systems administration
Maintain People and Culture Hub content and resources
Update pages, documents, and communications to ensure accuracy
Ensure alignment between Hub content and current policies and processes
Support system data integrity across HR platforms
Engagement and service milestones
Coordinate service milestone processes end-to-end
Maintain milestone tracking and ensure timely recognition
Prepare documentation, certificates, and communications
Support engagement initiatives and updates on the Hub
Continuous improvement
Identify opportunities to improve administrative processes and workflows
Support system and process improvements within People and Culture
Escalate issues, delays, or risks promptly

Strategic Input

  • Contribute to brainstorming and strategy development on projects.

Requirements

Academic & Trade Qualifications

Tertiary qualification in Human Resources, Business Administration, or related field

Postgraduate qualification in Human Resources or Employment Relations

Minimum of 5 years’ experience in HR or recruitment administration.

Strong attention to detail and data accuracy.

Sound understanding of confidentiality and compliance obligations.

Excellent written and verbal communication skills.

Proven ability to prioritise and manage multiple deadlines effectively.

Desirable

Experience supporting payroll processing.

Experience with Employment Hero or similar HR/payroll systems.

Exposure to WorkCover or immigration coordination.

Understanding of industrial awards or Enterprise Bargaining Agreements.

Experience working in a multi-site organisation.
