Looking for Philippines-based candidates
Work Schedule: 9:00 am to 6:00 pm Melbourne time, Monday to Friday, with occasional Saturday support and flexibility for additional hours where required by the work.
Engagement type: Employer of Record (EOR)
Compensation range: $1,500 AUD - $1,800 AUD / Monthly | $2,000 - $2,500 for candidates with genuine expertise in using AI for Executive Assistant work

Our client is a dynamic and forward-thinking entrepreneur managing a diverse portfolio of ventures across luxury retail, real estate development, and strategic investments.
This is not a standard admin VA role. This is a high-trust, founder-facing Executive Assistant role for a fast-moving business owner operating across jewelry, property, and other ventures. The right candidate must be highly organised, proactive, calm under pressure, excellent with follow-up, and able to create structure from a high-volume, fast-changing workflow. This person will help manage execution, communication, reminders, priorities, and day-to-day coordination across both business and selected personal matters.
Manage calendar, meetings, reminders, and scheduling
Manage inboxes, flag priorities, and draft replies
Track tasks, follow-ups, deadlines, and loose ends without needing repeated reminders
Convert rough voice notes, WhatsApp messages, and unstructured instructions into clean action lists and next steps
Coordinate with staff, suppliers, service providers, and external contacts
Prepare daily and weekly summaries of what is pending, completed, urgent, and blocked
Help organize business and personal admin
Assist with travel planning, appointments, bookings, and coordination where required
Prepare clean reports, trackers, and dashboards
Chase people and keep matters moving
Support the founder in maintaining structure, accountability, and execution consistency
Use AI tools intelligently to improve speed, organisation, drafting, summaries, and productivity
Use AI tools such as ChatGPT intelligently to help draft, redraft, improve, summarise, and analyse correspondence and documents
Read AI-generated drafts carefully, edit them properly, add or remove points, change tone or strategy where required, and keep refining them until the desired objective is achieved
Assist with drafting formal letters, negotiation responses, and structured communications based on the outcome required
Connect the dots across different facts, messages, and documents rather than simply following instructions mechanically
Support negotiation processes by understanding the commercial objective, using AI to test different approaches, and helping prepare stronger responses
Review letters, agreements, and other documents and understand their structure, key issues, and intended outcome
Proven experience as an Executive Assistant or supporting a founder/senior executive
Working with Jewelries or Jewelry industry
CRM, sales/admin coordination, or process-building experience
Social Media Management and lead generation experience
Strong reasoning ability, good judgement, organisational skills, initiative, and attention to detail
Ability to work with a fast-paced, unstructured environment
Strong reasoning, judgement, and problem-solving ability
Comfortable with legal-style documents and structured communication
Proficient in using AI tools in a strategic and thoughtful way
Reliable remote setup with strong internet and backup
Ability to refine drafts and negotiation positions until they are commercially and practically effective
The right candidate must be genuinely strong in using multiple AI tools and must have a proven track record of using AI in a practical, high-level way for executive assistant work. This includes drafting, redrafting, summarising, document review, communication, prioritization, workflow support, research, and refining output until it achieves the required objective.
This is a remote role that will be set up via an Employer of Record (EOR) service.
