Reports to: Business Manager / HR Director
We are seeking a high-caliber, proactive Administrative Assistant to serve as a strategic partner to our Business Manager and Human Resources department. In this role, you arent just completing tasks; you are the "Engine" ensuring our operational efficiency. Your primary objective is to manage the flow of information, protect the leaderships time, and optimize our systems so the business can scale with ease.
Roles & Responsibilities
Email Management: Full oversight of inboxes. You will filter, prioritize, delegate, and respond to inquiries to ensure a "zero-miss" communication standard.
Proactive Correspondence: Drafting professional communications for internal team updates and external partner relations.
Social Media Monitoring: Managing community engagement and monitoring social channels to ensure brand consistency and timely responses.
Digital Asset Management: Executing a high-level filing and documentation system to ensure all HR and business records are secure, organized, and easily accessible.
Process Optimization: Constantly "identifying, discussing, and resolving" (IDS) inefficiencies. You will explore new products, tools, and workflows to keep the team running smoothly.
Documentation: Creating and updating Standard Operating Procedures (SOPs) for all administrative functions.
Project Tracking: Monitoring open loops and deadlines to ensure the Business Manager remains focused on high-priority "Rocks."
Research & Procurement: Vetting vendors, exploring software solutions, and sourcing products that enhance team productivity.
Get It: You understand the nuances of high-level administration and the importance of HR confidentiality and "managing up."

Qualifications & Skills
Professionalism: Exceptional written and verbal communication skills.
Tech-Savvy: Proficiency in project management, Facebook, Instagram and using Google Workspace.
Efficiency Mindset: A proven track record of improving processes and saving time for leadership.Somebody who can take initiative and not wait for a task to be given.
Discretion: Absolute integrity when handling sensitive HR documentation and executive data.
