The Role

This is a 6-month contract, hybrid Executive Assistant role supporting ThoughtSpot executives. You will play a critical role in managing the day-to-day operations of the executive office, ensuring the executive's time is optimized and priorities are executed efficiently.

You will manage confidential projects, coordinate complex scheduling across internal and external stakeholders, support communications, and handle a range of administrative and project coordination responsibilities. This role requires a highly proactive, detail-oriented individual who thrives in a fast-paced tech environment and operates with strong discretion when handling sensitive information.

What You’ll Do

Manage executive calendars, including scheduling high-priority meetings, appointments, and travel coordination
Prepare and organize materials for executive meetings, including agendas, presentations, and follow-ups
Serve as a key point of contact for internal and external stakeholders on behalf of the executives
Support project planning and execution, including maintaining agendas, task lists, and status tracking
Draft, proofread, and edit correspondence, reports, and strategic documentation
Conduct research and synthesize information to support decision-making and executive priorities
Track deadlines and deliverables to ensure timely execution of key initiatives
Handle highly confidential information with professionalism and discretion
Support select personal tasks and initiatives as needed to optimize executive effectiveness
Help drive best practices in delegation and operational efficiency to maximize executive productivity

What You Bring

Bachelor’s degree in Business Administration, Communications, or a related field preferred
5+ years of experience as an Executive Assistant supporting senior executives in a fast-paced, high-growth tech environment
Experience supporting C-level leadership in a global organization strongly preferred
Exceptional organizational and time-management skills with strong prioritization ability
Strong written and verbal communication skills with the ability to draft clear, concise messaging
Proficiency in Microsoft Office Suite; familiarity with project management tools (e.g., Asana, Trello) a plus
High responsiveness and ability to manage multiple priorities across communication channels
Strong judgment, discretion, and integrity when handling sensitive information
Proactive, curious mindset with a desire to continuously learn and improve
Ability to thrive in a dynamic, high-expectation environment with strong ownership and composure

Spotters are expected to demonstrate AI literacy and workflow integration to include to ability to

Comfortably and confidently integrate artificial intelligence into their daily workflow to increase productivity and quality.

Hands-on experience to leverage AI tools (industry-leading LLMs) to increase productivity, automate routine tasks, and improve work quality.

Speak to the experience of using AI for research, content creation, and document summarization while maintaining ownership of judgment and final decisions.

Write effective prompts to get the most accurate and creative results from AI tools.

Adaptability to quickly learn and implement new, emerging AI technologies

Hybrid Work at ThoughtSpot

This office-assigned role is available as a hybrid position, reporting to the office in US - Mountain View.

Spotters assigned to an office are encouraged to experience the energy of their local office with an in-office expectation of 2-3 days per week. This approach balances the benefits of in-person collaboration and peer learning with the flexibility needed by individuals and teams.
