A fast-growing, founder-led international business operating across multiple functions and markets. The executive you’ll support requires a highly autonomous partner who can think strategically, act decisively, and represent them with confidence in day-to-day operations.

Scope of the Role

This is not a traditional Executive Assistant role. This position sits between Executive Assistant and Chief of Staff, designed for someone who can manage complexity, take ownership, and act on behalf of the executive when needed.

You will be trusted to represent the executive in meetings, make informed decisions within defined parameters, and keep the business moving forward without constant oversight. You are expected to operate with discretion, judgement, and a strong sense of accountability.

Responsibilities

  • Act as a strategic partner to the executive, managing priorities, workflows, and execution across the business
  • Represent the executive in internal and external meetings, documenting outcomes and making decisions when authorised
  • Act on behalf of the executive in communications, follow-ups, and coordination with stakeholders
  • Own calendar management, inbox triage, travel coordination, and meeting preparation at an executive level
  • Drive execution on projects, ensuring deadlines are met and blockers are resolved proactively
  • Prepare briefs, summaries, presentations, and decision documents
  • Coordinate across teams (Operations, Marketing, Finance, HR, etc.) to ensure alignment
  • Anticipate needs, flag risks, and propose solutions before issues escalate
  • Maintain strict confidentiality and exercise sound judgment at all times

Requirements

5+ years of experience as an Executive Assistant, Senior EA, Operations Manager, or Chief of Staff–type role
Proven experience representing an executive and making decisions on their behalf
Exceptional written and verbal communication skills in English
Strong business judgement and ability to operate with minimal supervision
Experience working with founders, C-level executives, or high-growth companies
High level of organisation, prioritisation, and follow-through
Comfortable managing ambiguity and shifting priorities
Based in South America with reliable availability aligned to US time zones
Tech-savvy and comfortable with tools like Google Workspace, Slack, Notion, Asana, ClickUp, or similar
