Our client is seeking a Cold Email Outreach Specialist to generate pipeline through highly targeted outbound email campaigns. This role is responsible for writing effective copy, building prospect lists, managing deliverability, monitoring metrics, and passing warm leads to sales teams. The specialist ensures campaigns are strategic, compliant, and performance-driven, with a constant focus on improving conversion rates.
Research and compile prospect lists using ZoomInfo, Apollo, LinkedIn Sales Navigator, Crunchbase, or other lead databases.
Segment contacts by persona, industry, geography, and ICP (ideal customer profile).
Validate and clean lists using tools like NeverBounce, ZeroBounce, or Clearout.
Write compelling subject lines, body copy, and CTAs tailored to prospect pain points.
Build and launch multi-step campaigns (4–8 touchpoints) over 10–21 days.
Personalize templates with industry, role, or company-specific details.
Warm up sending domains and IPs with Mailwarm, Instantly, or Lemlist warmup.
Rotate sending accounts, monitor spam scores, and maintain healthy sending limits.
Track bounce rates and spam flags, adjusting campaigns proactively.
A/B test subject lines, templates, send times, and CTAs.
Track open, click, reply, bounce, and positive response rates.
Adjust messaging based on results, industry trends, and feedback from sales.
Monitor replies, categorize responses, and flag interested prospects.
Route qualified leads to Account Executives or BDRs with detailed notes.
Maintain clean CRM records in Salesforce, HubSpot, or Zoho.
Ensure all campaigns comply with CAN-SPAM, GDPR, and CCPA.
Maintain opt-out processes and respect suppression lists.
Skilled in persuasive, concise copywriting.
Technically capable of managing deliverability and campaign health.
Analytical and data-driven, always iterating based on performance.
Comfortable balancing creativity with compliance requirements.
1–2 years in outbound lead generation, SDR, or marketing campaign roles.
Familiarity with cold email tools (Apollo, Lemlist, Instantly, Woodpecker, Smartlead).
Experience writing copy for sales outreach.
Strong Excel/Google Sheets for list management.
Managed sending domains and deliverability at scale.
Experience running campaigns for B2B SaaS, marketing, or services companies.
Familiarity with compliance frameworks (GDPR, CAN-SPAM, CCPA).
Basic technical skills (DNS records, SPF/DKIM/DMARC setup).
What Does a Typical Day Look Like?
Research and build prospect lists, ensuring accurate segmentation and clean data.
Draft and launch email sequences with personalized subject lines and value-driven messaging.
Monitor deliverability by reviewing bounce rates, spam flags, and domain reputation.
Review campaign metrics (open, click, reply, and positive response rates) and make adjustments.
Respond to and categorize replies, flagging warm leads for handoff to sales.
Update CRM and campaign logs so the sales team has accurate records of engagement.
In essence: you are responsible for ensuring outbound email campaigns are strategic, compliant, and consistently delivering new qualified opportunities to the sales pipeline.
Open rates ≥ 40% (or client benchmark).
Positive reply rates ≥ 5–10%.
Bounce rate < 3%.
Number of qualified leads generated monthly (based on client targets).
CRM hygiene: 100% of leads categorized and updated.
