We are looking for a proactive and highly organized Executive Assistant to support our EVP, Marine. This is a key role for someone who thrives in a fast-paced environment, enjoys taking ownership, and excels at keeping complex tasks and stakeholders aligned.

What will your responsibilities be?

As our Executive Assistant, you will act as a trusted partner to our Executive Vice President & Head of Marine, ensuring smooth daily operations and enabling her to focus on strategic priorities. You will handle a wide range of responsibilities — from calendar and meeting management to preparing materials, coordinating projects, and ensuring effective communication across the organization.

Key Responsibilities

Manage complex calendars, meetings, and travel arrangements

Prepare presentations, documents, and meeting materials

Coordinate internal and external communication on behalf of our EVP

Support with follow-ups, task tracking, and prioritization

Assist with project management/coordination and cross functional collaboration

Handle confidential information with discretion and professionalism

Organize events, workshops, and leadership offsites

Ensure smooth day-to-day operations and anticipate needs before they arise

You will also be involved in key projects across the Marine organization.

Have You Got What We’re Looking For?

As EA, you will bring

Experience as an Executive Assistant, Personal Assistant, or similar role preferable from a global organization

Strong organizational skills and the ability to manage multiple priorities

Excellent communication skills in English

High level of professionalism, discretion, and integrity

Strong proficiency in Microsoft Office and digital collaboration tools

Proven and well versed in presentation materials in Power Point

A proactive mindset with the ability to work independently

A positive attitude and a service-oriented approach
