Job Description

We're looking for a detail-driven Maintenance Planning Administrator to join our team. If you thrive on consistency, organisation, and keeping things running smoothly, this role offers a stable, process-focused environment where your attention to detail will make a real impact. This is a permanent position based in the Perth CBD, working from a new office building with premium amenities including a pool and gym, all conveniently located close to public transport.

Key Responsibilities

Develop and maintain weekly, monthly and forward maintenance schedules based on priorities, asset condition and operational requirements.

Coordinate planned maintenance with operations and workshop teams to minimise disruption.

Create and issue detailed work orders including scope, labour estimates, parts, tools and safety requirements.

Prepare work packs with job cards, checklists, drawings and relevant technical documentation.

Maintain accurate records in MEX/CMMS including asset data, service history, PM schedules and meter readings.

Review completed work orders to ensure accuracy of labour, parts usage, findings and follow-up actions.

Liaise with supervisors, contractors and suppliers to confirm resources, parts availability and bookings.

Support breakdown response planning to reduce downtime and improve recovery times.

Identify and implement improvements to planning processes, preventive maintenance routines and job standardisation.

Contribute to continuous improvement through feedback, condition monitoring data and OEM recommendations.

Qualifications

Essential

1-3 years' relevant experience in maintenance planning, scheduling or asset maintenance support

Data and work order management experience is essential

Strong stakeholder management and communication skills to ensure accuracy of planning activities

Strong organisational and forward-planning skills.

Experience using a CMMS (MEX or similar).

High attention to detail with strong documentation discipline.

Desirable

Experience in transport, heavy vehicle, port equipment or remote operations.

Intermediate Excel or reporting skills.
