As an Office Management Assistant (gn) , you will be responsible for organizing and coordinating the smooth day-to-day operations of our office, serving as the central point of contact for administrative and organizational matters. To succeed in this role, you bring strong organizational skills, a proactive mindset, a service-oriented attitude, and a structured and reliable way of working. Your mission

• You manage office supply orders, process invoices, and follow up on purchases and deliveries
• You oversee and organize office and consumable supplies
• You handle general reception duties and welcome visitors
• You manage incoming and outgoing mail
• You prepare conference and meeting rooms and ensure all required materials are available
• You monitor and organize kitchenettes and shared office areas
• You organize and coordinate the onboarding process for new employees
• You serve as the primary point of contact for employees regarding organizational and administrative matters
• You coordinate external service providers, suppliers, and contractors
• You support the smooth operation of the office environment
• You contribute to organizational projects and support the optimization of internal processes

Your experience & skills

• You have completed a commercial/business-related apprenticeship or possess a comparable qualification
• Ideally, you have gained initial professional experience in office management, reception, or administrative roles
• You have excellent organizational skills and work in a structured, independent manner
• You bring a hands-on mentality and enjoy actively shaping and improving processes
• You demonstrate a friendly, service-oriented, and professional demeanor
• You enjoy working as part of a team and are highly reliable
• You have solid IT skills, particularly in Microsoft Office applications
• You have good written and spoken German and English language skills
• You hold a valid Class B driver's license
