The Principal Meeting & Events Specialist is a key member of the Acute Care & Monitoring (ACM) U.S. Commercial Marketing team. This role partners closely with Marketing, Sales, and cross-functional stakeholders to develop event strategies, define success metrics, and deliver exceptional customer and employee experiences. This individual will lead the planning and execution of core commercial events throughout the year, including customer workshops, healthcare provider education programs, KOL engagements, customer dinners, tradeshows, regional meetings, and national sales meetings—including our annual National Sales Training Meeting with more than 400 attendees. Success in this role requires a highly collaborative professional who can build strong relationships across a wide range of personalities and stakeholder groups, navigate complex logistics with precision, and create memorable, high-impact experiences that advance business objectives. This role is based onsite at our headquarters in Lafayette, CO, enabling close collaboration with ACM team members and access to event materials, labs, and meeting spaces. Key Responsibilities Event Strategy & Experience Management Partner with Marketing and Sales leaders to develop event strategies, objectives, success metrics, and attendee engagement plans. Lead end-to-end planning and execution of commercial events, customer programs, workshops, tradeshows, and internal meetings. Design engaging attendee experiences that strengthen customer relationships and support business goals. Manage event communications, registration, attendee management, and onsite execution to ensure a seamless participant experience. Evaluate event effectiveness through reporting, insights, and recommendations for continuous improvement. Stakeholder & KOL Engagement Serve as the primary coordinator for KOL and healthcare professional (HCP) engagements, ensuring strategic alignment and exceptional experiences. Build productive relationships with internal stakeholders, healthcare providers, KOLs, vendors, and external partners. Manage HCP contracting, honoraria, reimbursement, and engagement processes while ensuring compliance with company policies and applicable regulations. Advise stakeholders on engagement requirements, timelines, and contractual obligations. Logistics, Vendor & Budget Management Oversee all event logistics, including venue sourcing, hotel negotiations, travel, food and beverage, audiovisual production, and technical services. Manage vendor relationships, contracts, and service delivery to ensure quality, cost-effectiveness, and flawless execution. Develop and manage event budgets, track expenses, identify cost-saving opportunities, and ensure accurate billing and reconciliation. Coordinate emerging event technologies and engagement tools to enhance attendee participation and event outcomes. Compliance & Operational Excellence Ensure all meetings, events, contracts, and payments comply with Medtronic policies, healthcare industry regulations, and applicable business conduct standards. Administer contracts and work orders, including negotiation, execution, fulfillment tracking, and documentation. Process HCP payments and reimbursements through approved systems, ensuring accuracy, completeness, and timely execution. Maintain detailed records, historical reporting, and documentation to support audits, compliance reviews, and business planning. Skilled at building relationships and collaborating effectively with diverse personalities, functions, and leadership levels. Strong communicator who can influence, coordinate, and drive alignment across stakeholders. Strategic thinker with the ability to translate business objectives into impactful experiences. Proven experience managing complex events, budgets, vendors, and logistics from concept through execution. Comfortable operating in a fast-paced environment where adaptability, organization, and problem-solving are critical to success. Must Have: Minimum Requirements HS Diploma with 8 years of relevant exp in meeting or event planning, or Assoc Degree with 6 years of relevant exp in meeting or event planning, or Bachelor’s degree with 4 years of relevant exp in meeting or event planning Nice to Have Bachelor’s degree Multiple years of experience planning meetings in a large, matrixed organization Experience as a Medtronic Meeting Planner is highly preferred Ability to create processes and SOPs, proven experience in developing new systems, ways of work and programs Experience managing budgets Customer facing experience Exposure to contracting and payments Experience working with Sunshine Laws Experience working with global regions, diverse cultures and audiences Must be self directed and able to work autonomously. Take initiative and problem solve/troubleshoot without needing direction Software proficiency in MS Outlook, Teams, PowerPoint, Excel, Word, etc. Cvent, eCats experience preferred For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required. Salary ranges for U.S (excl. PR) locations (USD):$104,800.00 - $157,200.00 This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP). The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).
