OVERVIEW

We are seeking a highly organised and detail focused Virtual Assistant to support an Australian mortgage broking business supporting the Director/Mortgage Broker. This is a full-time remote position providing end to end loan processing and administrative support across the mortgage application lifecycle.

You will work closely with the broker to prepare, manage, and track home loan applications from submission through to settlement, ensuring files are complete, accurate, and efficiently progressed.

RESPONSIBILITIES

Loan Processing & File Management
Prepare and package home loan applications for submission to lenders
Collect, review, and organise client supporting documents
Ensure loan files meet lender and compliance requirements
Maintain accurate and up to date application records in CRM
Track loan progress from submission through to settlement
Complete home loan health checks for existing home loan clients
Broker Support & Administration
Manage broker inbox and client communication via Outlook
Draft and format documents in Word including loan application summaries
Follow up with lenders and stakeholders regarding outstanding requirements
Organise settlement gifts for clients

Requirements

Essential

  • Strong proficiency in Microsoft Office (Outlook, Word, Excel)
  • Excellent attention to detail and numerical accuracy
  • Strong and confident written English communication skills
  • Highly organised with the ability to manage multiple loan files
  • Ability to work independently in a remote environment

Highly Desirable

  • Previous experience working with an Australian mortgage broker or brokerage (ideally at least 12 months experience)
  • Familiarity with Australian lending processes and documentation
  • Experience using Connective’s Mercury CRM
  • Background in mortgage processing, banking, finance, or credit administration
