The Recruitment Administration Manager (RAM) is a senior operational and coordination role within the RPO programme, responsible for overseeing and optimising recruitment administration processes across EMEA and supporting global alignment.
This role focuses on coordination, governance, and process optimisation, rather than direct delivery, ensuring administrative activities are executed efficiently and consistently across regions.
Operational oversight & coordination
Interview scheduling
Recruitment coordination delivery
Onboarding processes (systems setup, equipment, access)
Act as the central point of coordination across high-volume, multi-country operations
Ensure consistency, quality, and timeliness of delivery across teams (including offshore support)
Invoicing & billing coordination
Own and oversee the invoicing process
Coordinate with recruitment administrators and stakeholders to ensure data accuracy
Identify discrepancies, errors, and gaps within billing data (Workday-based reporting)
Drive improvements in a currently manual and complex invoicing environment
Process ownership & optimisation
Document, review, and standardise recruitment administration processes globally
Identify differences between regions (e.g. EMEA vs North America) and drive alignment
Operational updates
Issue resolution and escalations
Process improvements
Engage with client stakeholders where required, including exposure to sensitive or confidential topics
Team coordination (indirect management)
Indirectly oversee recruitment coordination teams
Work in partnership with team leads responsible for day-to-day delivery
Provide direction on priorities, quality standards, and outputs
Monitor delivery performance, escalations, and reporting
Reporting & governance
Track and report on key operational metrics (e.g. scheduling volumes, onboarding volumes, invoicing status)
Strong experience in recruitment operations, coordination, or administration within an RPO or similar environment
Proven background in managing complex, high-volume, multi-country processes
Experience overseeing operational delivery (not necessarily hands-on execution)
Exposure to process improvement, operations, or programme management
Excellent attention to detail (critical for invoicing, data validation, reporting)
Strong organisational skills with ability to manage multiple complex workflows simultaneously
Advanced Excel/data handling capability
Ability to identify inefficiencies and drive process improvements
Strong stakeholder management and communication skills
Comfortable operating in a global, matrixed environment
Proficient in Microsoft Office, including Outlook, Excel, PowerPoint, and Word
